How Far in Advance Should You Book a Marquee in Australia?



It's a question that seems simple until you start making calls and realise the date you want is already gone.

Marquee hire is not like booking a restaurant or reserving a hotel room. A marquee is a physical structure that has to be manufactured, transported, installed, and dismantled, and there are only so many weekends in a year, only so many marquees in a company's fleet, and only so many crews available to put them up. When demand is high and your preferred date approaches, availability disappears fast.

The good news is that this is entirely manageable, if you plan ahead. This guide will tell you exactly how far in advance to book based on your event type, your event date, and how much flexibility you have.

Why Australian Couples Are Planning Further Ahead Than Ever

According to Easy Weddings' 2025 Industry Insights report, the average engagement length in Australia has increased to 24 months, the longest ever recorded in the report's ten-year history. The report attributes this to the rising cost of living, with couples taking longer to plan, save, and lock in suppliers before committing to bookings.

What this means in practice: the couples booking marquees for popular dates are doing so further ahead than they were five years ago. The pool of available dates shrinks earlier each season. If you're working from an older timeline, one that assumed twelve months was plenty, you may find that assumption no longer holds for the most sought-after weekends.

This doesn't mean you can't secure a marquee on a shorter timeline. But it does mean that the earlier you move, the more options you have.

For Weddings: Book 12 to 18 Months in Advance

Weddings are the most planned events most people ever organise, and the marquee is one of the first things that should be locked in, not one of the last.

Here's why. Popular Australian wedding venues and suppliers book 12 to 18 months in advance for peak season, which runs from September through to May across most of the country. A marquee hire company is no different. In fact, because a marquee is often the centrepiece of the entire event, the structure everything else is planned around, it makes sense to secure it before you finalise catering, lighting, flooring, or entertainment.

Think of the marquee as your venue. You wouldn't choose a function centre and then assume it would still be available six months later when you finally got around to booking. The same logic applies here.

The most in-demand dates, Saturday evenings in March, October, and November in particular, can be spoken for well over a year in advance in some parts of the country. If your heart is set on a specific date, move on the marquee first.

For large or complex marquee weddings, those involving multiple structures, custom layouts, clear-span marquees over water or on elevated sites, or rural properties that require a site inspection, allow even more time. Eighteen months is not excessive for an event of genuine scale and complexity.

For Corporate Events: Book 6 to 9 Months in Advance

Corporate events tend to be planned with more precision and less romance than weddings, which works in your favour. But they also tend to cluster around the same periods, end of financial year, Christmas, product launches in spring, which creates spikes in demand that catch unprepared organisers out.

For a straightforward corporate event during a quieter period, six months is a solid lead time. For events during the October-to-December peak, or anything that falls on a Friday or Saturday, push that to nine months minimum.

If your event involves multiple marquees, a branded structure with custom fit-out, or site-specific requirements (a marquee over a car park, adjoining existing architecture, or on council land requiring permits), give yourself longer. The logistics of a complex corporate marquee are substantially different from a single structure in a private garden, and the lead time should reflect that.

One consideration worth flagging for businesses: EOFY events in June can catch teams off guard if the planning doesn't start until April. Six months out for a June event means starting in December, which is when most people are distracted by Christmas. For Private Parties: Book 3 to 6 Months in Advance

Milestone birthdays, engagement parties, christenings, and family gatherings don't usually require the same lead times as weddings, but they do require more advance planning than most people assume.

For a private event on a mid-week date or during a quieter period of the year, three months may be sufficient. But for a Saturday event in spring or summer, or any event in the lead-up to Christmas, four to six months is a safer window.

The December period deserves special mention. Christmas parties, both private and corporate, are among the most time-sensitive bookings of the year. If you're planning a Christmas party under a marquee, the conversation should start well before the school holidays end in January.

The Dates That Book Out Fastest

Not all dates are equal. Some weekends in the Australian calendar consistently attract disproportionate demand, and these are the ones where a twelve-month lead time is not just advisable but often necessary.

  • October and November Saturdays are the most competitive dates of the year in most states. Spring weather, the end of the school term, and a high concentration of both weddings and corporate end-of-year events create significant pressure on availability.
  • March Saturdays are nearly as competitive. The weather is excellent across most of the country, the summer heat has broken, and demand from both weddings and private events is high.
  • The first two weeks of December are where Christmas parties converge. Corporate clients who start planning in October often find the best Saturday slots are already gone.
  • Long weekends are consistently popular for private events and destination weddings, and consistently limited in availability, since installation and pack-down logistics are more complex around public holidays.

If your event falls on any of these dates, treat the booking window above as a minimum, not a comfortable target.

What Happens If You've Left It Late?

Life doesn't always allow for eighteen months of planning. Engagements happen, opportunities arise, and sometimes a decision gets made later than intended. If you're working with a shorter timeline than the one above, here's what to expect.

  • You may have fewer marquee size and style options. The most popular structures, particular sizes, clear-span designs, or specific configurations, are often the first to be booked. Shorter lead times mean working with whatever is available rather than what's ideal.
  • You may face higher costs. Some companies charge a premium for short-notice bookings, particularly during peak season. This isn't universal, but it's worth asking about upfront.
  • Coordination becomes more compressed. A Melbourne marquee hire isn't just the structure itself, it involves site visits, permit applications in some cases, coordination with flooring, lighting, and catering suppliers, and installation scheduling. All of that takes time, and less planning time means more pressure on every party involved.

That said, last-minute bookings do sometimes come together. Cancellations happen. Slots occasionally open up. If you're in this situation, call directly rather than relying on an online form, a phone call gives you real-time information about what's available and what can be made to work.

The Simple Rule

Whatever your event, whatever the date: the moment you know you want a marquee, make the call. Even if your event is fourteen months away and you haven't finalised the guest list or the menu or the colour scheme, securing the marquee first gives you the foundation to build everything else around.
